General Information

ICA-AP in collaboration with the Jordan Cooperative Corporation (JCC) and the Ministry of Agriculture of the Hashemite Kingdom of Jordan is organizing the 11th Asia-Pacific Cooperative Ministers’ Conference from 28-30 April 2024. It will be held at Hotel Crowne Plaza in the Dead Sea, Jordan.

The terms and conditions below apply to every person attending the Conference. All registrations are subject to the acceptance of these terms and conditions.

Departure of Delegates

Registration

There is no registration fee to attend the Conference. However, delegates need to pay/ arrange sponsorship for their hotel accommodation and air travel to Jordan and back to their respective countries.

Delegates are kindly requested to register online as early as possible. Please note that online registration is mandatory to attend the Conference. However, submission of the registration form does not guarantee attendance. The organizers will send a confirmation email.

Visa Information

It is the sole responsibility of the delegates to take care of their visa requirements and process. Delegates who require an entry visa must allow sufficient time for the application procedure. The Conference hosts/ organizers will not directly contact embassies and consulates on behalf of visa applicants. However, the hosts will issue letters of invitation to facilitate visa procurement for you.

Delegates are requested to confirm their visa requirements with the Embassies/ Consulates in their respective countries.

Delegates needing visa invitation letters from the host country should fill out the visa form and share the same with their passport copies to the contacts mentioned below. JCC will make arrangements for airport transfer to and from the Conference venue for all delegates who have provided their flight details latest by 15 April 2024.

Field Visit

JCC has arranged a VIP tour to "Petra City" located in southern Jordan in Ma'an Governorate on April 30. It is an ancient city and is considered one of the wonders of the world.

In addition to this, a visit to one of the cooperative societies in the same governorate has also been arranged to showcase their work.

Note: The field visit will take the whole day tentatively starting from 8 am (local time) until 6 pm (local time). Delegates are requested to arrange their return flights accordingly.

Other Terms and Conditions

Badge

The registration desk will be open at the venue from 27 April onwards. Delegates are requested to collect their name badge and conference material. The delegate name badge must be worn at all times during the events. Access to the venue will not be granted without the name badge.

Cancellation of Events

If the Conference cannot be held or is postponed due to events beyond the control of the hosts/ organizers (force majeure) or due to events which are not attributable to wrongful intent or gross negligence of the organisers, they cannot be held liable by attendees for any damages, costs, or losses incurred, such as transportation costs, financial losses, etc.

Insurance

It is the responsibility of the delegates to arrange appropriate insurance coverage in connection with their attendance at the Conference and bring their medical supplies. The hosts and organizers are not responsible for any medical or travel-related exigencies. Delegates are encouraged to check with their travel agency about travel, medical and personal insurance policies and coverage.

Liability

Views expressed by speakers, sponsors and/or exhibitors are their own. The host and organizers cannot accept liability for any advice given, or views expressed, by any speaker, sponsor and/or exhibitor at the Conference or in any material provided to delegates. In addition, the host and organizers shall not be responsible or liable for any direct or indirect loss or damage of any sort incurred as the result of the services or information provided in connection with the event. Lastly, the host and organizers cannot accept liability for loss of, or damage to, property belonging to delegates during the event.

Vaccination Requirements

It is the sole responsibility of the delegates to ensure safe travel to Jordan. Delegates should refer to the official information/ vaccination certificates provided by their governments regarding vaccination and safe travel recommendations. If you must go into quarantine upon arrival in Jordan or on your return to your country, it is your responsibility. Under no circumstances will the hosts and organizers be responsible for any additional charges you may incur for subsistence, accommodation, and transport costs.

Privacy and Data Protection

The protection of your data is important to us. The hosts and organizers will collect and store necessary personal information for the preparation and execution of the event. By registering for the Conference, the parties concerned are agreeing that your personal information may be used to contact you by email to supply information relevant to this event, or about other events and opportunities that the organisers are planning and feel may be of interest to them. You may ask to be removed from the ICA-AP database at any time.

Photos and Filming

Photos and videos will be taken during the event, for example, in a group of people or when presentations are made or questions asked, and these will be posted and shared by the structures of the Conference and ICA-AP websites, ICA-AP social media pages or other communications channels for the promotion of the cooperative movement. Use of the photographic images for purposes other than those described above or for marketing via the transfer of the images to third parties is prohibited.
